This Privacy Policy describes how W2 Spring Classic (W2SC) collects, uses, and protects information from teams, players, guardians, and visitors in connection with the W2 Spring Classic 3-on-3 basketball tournament ("the Event"), including our website, registration process, and text message (SMS) communications.
Information We Collect
- Registration information: team name, division, captain name, email, and phone number; roster player names and t-shirt sizes; and, for Kids, Youth, and Young Adult divisions, a parent/guardian's name, email, and phone number.
- Waiver signatures: for each player who signs the waiver online, their name, team, division, email, typed signature, and (for a minor) the signing parent or guardian's name.
- Payment information: entry fees are processed securely by Stripe. We do not store your card details on our own systems.
- Optional information: if you sign up for email updates, your email address is added to our mailing list (Mailchimp). If you sign up for a skills contest, we record your contest selection and which player is entering.
How We Use Your Information
- To process your team's registration and payment
- To communicate essential event information, including schedule updates, game-time reminders, and score-related notifications by email and/or text message (SMS)
- To administer skills contests and track available spots
- To send optional email updates about the Event, if you've opted in
- To maintain records required for prize distribution, including guardian contact information for minor participants
Text Message (SMS) Communications
If you provide a phone number during registration, W2 Spring Classic (W2SC) may send you text messages related to your team's games, such as schedule reminders and game-time alerts. Message frequency varies depending on your division and how far your team advances. Message and data rates may apply. You can opt out at any time by replying STOP, or get help by replying HELP.
How We Share Information
We do not sell your personal information. We share information only with the service providers necessary to run the Event, including our payment processor (Stripe), our database provider (Supabase), our registration spreadsheet (Google Sheets), our email platform (Mailchimp), and our SMS provider (Twilio), each of whom is contractually limited to using your information only to provide their service to us.
Data Retention
We retain registration records for as long as reasonably necessary for event administration, prize distribution, tax/accounting purposes, and to plan future events.
